Simple Scheduling Tips for Home Health Therapists

As a home health occupational therapist, balancing patient care with personal life can be a juggling act. Managing schedules, coordinating with caregivers, and maintaining a healthy work-life balance are essential components of the job. Fortunately, with strategic planning and organization, it’s possible to streamline your schedule and optimize your productivity. Here are some invaluable scheduling tips to help you navigate the demands of home health OT:

1. Utilize Time Blocking

Implementing time blocking can revolutionize your daily workflow. Allocate specific time slots for different tasks throughout the day. For example, I reserve the morning hours, from 8 am to 10 am, for planning, reviewing patient charts, and completing administrative tasks. This structured approach ensures that crucial responsibilities are addressed promptly, setting the tone for a productive day.

2. Plan One Month in Advance

Stay ahead of the curve by planning your patient schedules one month in advance. Set a designated day before the end of each month to arrange patient visits for the upcoming month. Once schedules are confirmed, provide caregivers or parents with a copy of the monthly schedule to minimize cancellations and maintain clear communication.

Take advantage of the free version of Canva to design your own calendar templates to easily save a photo to your phone and send out a copy of the calendar to patients.

When I first started in home health, this was one of the biggest things I struggled with. I had initially started off scheduling patients each week and contacting caregivers or patients weekly to confirm appointments until I realized that planning one month in advance minimized the amount of time spent confirming and scheduling visits. Organizing your time efficiently is one of the most important skills you learn working as a home health therapist. 

3. Confirm Appointments

Reduce the likelihood of last-minute cancellations by sending reminder texts to patients or caregivers the day before scheduled visits. While it may not be feasible to contact every individual, prioritize those who have a history of frequent cancellations or have yet to confirm their appointments. This proactive approach fosters accountability and ensures efficient use of your time.

4. Optimize Travel Routes

Maximize efficiency by planning your patient visits based on geographical proximity. Choose between starting with the closest home and working your way out or beginning with the farthest location and looping back. Tailor your approach to minimize travel time and maximize patient contact hours.

5. Capitalize on Cancellations

View cancellations as opportunities rather than setbacks. Use freed-up time to catch up on missed visits, complete administrative tasks, or indulge in self-care activities. Whether it’s tackling paperwork or enjoying a well-deserved coffee shop break, make the most of unexpected openings in your schedule.

6. Front-load Patients for Extended Breaks

Strategically front-load your patient appointments to create extended breaks, such as a three-day weekend. By scheduling all patient visits between Monday and Thursday, you can free up Fridays for personal time or leisure activities. This proactive approach allows you to recharge and rejuvenate without compromising patient care.

7. Advocate for Yourself

Recognize when you’re feeling overwhelmed and don’t hesitate to seek support. Communicate openly with your supervisor or office manager about your workload and stress levels. Whether it involves adjusting your caseload or requesting assistance, prioritize your well-being. Remember, advocating for yourself is essential for maintaining a sustainable and fulfilling career in home health occupational therapy.
